Procurement software is sold as suites: sourcing, contracts, supplier management, purchase-to-pay and analytics in one platform. For a large organisation with a big team, that can be right. For many teams, it is more than they need — and the problem they actually have is simpler. This checklist helps you tell which one you are.
Start with the problem, not the product
Write down the three questions you most need to answer this year. For most procurement teams they look like:
- “What do we spend, by category, and with whom?”
- “Where are we fragmented or paying different prices for the same thing?”
- “Which three projects should we run first?”
All three are answered by categorised spend data and a spreadsheet or BI tool. None of them needs a platform.
You probably need a platform if…
- You run many sourcing events a year and need to manage bids, suppliers and approvals in one place.
- You hold hundreds of contracts and are missing renewals.
- You need enforced purchasing workflows: catalogues, approvals, purchase orders.
- You have a team to own and run the system every day.
You probably don't, yet, if…
- Your main gap is visibility: you cannot say what you buy by category.
- Your team is small, and nobody would own a new system.
- You review spend a few times a year, not daily.
- You already have Excel or a BI tool your organisation uses.
The sequencing argument
Even teams that will need a platform benefit from categorising their spend first. It tells you which modules matter, sizes the business case with your own numbers, and gives any future system a clean starting dataset. Buying the platform first and cleaning the data inside it is the slower, more expensive order.
A lightweight starting stack
- An export of twelve months of invoice lines. See exporting spend data.
- Categorisation of every line into a standard taxonomy.
- A pivot or dashboard in the tools you have. See procurement dashboards in Power BI.
- A short list of projects, chosen from the data. See procurement quick wins.
Where Structera fits
Structera is step 2 and nothing else. It is not a procurement platform and does not try to be one: it categorises every line of your spend so you can decide what to do next — including whether you need a platform at all. Categorise a free sample.
